Please refer to this following guide for instructions and information on how to use and access the school computers and its many systems.

Prerequisites

To get access to the school systems, you will need to make sure you have the following things:

  • School Username and Password
    You will be provided with a school username and email address which you will be able to use to access resources and use the computers.
  • Staff Photo
    This is taken at the tech support office. It will be used to create your ID badge and photo on SIMs
  • SIMs username & password (If applicable)
    Please see the data manager, in the data office in order to be provided access to SIMs.
  • Fingerprint taken
    This is taken at the tech support office. Please note that you MUST have been added to SIMs first, it syncs overnight so that you only be able to have your fingerprint taken at least the day after being added to SIMs.
  • Account synchronisation
    Your computer account will need synced with your fingerprint.

To do this, when you have had your fingerprint taken, go to a printer and scan your finger on. The following error will appear on the printer interface “Card not Associated with account”. Simply press assign and type your computer username and password and hit OK. Next time you place your fingerprint on the reader and it will automatically log in.

Login Details

Your Computer account is setup with the following details

  • Username (this will take the form of firstnamesecondname)
  • Password (You must come to IT Support for an Initial password)
  • Email address (this will take the form of firstnamesecondname@kba.uk)

(Usernames/Email addresses are NOT case sensitive. Password ARE case sensitive.

E-mail

There are three ways to access your school email address, Outlook client or on the web. Please refer to the below guides:

Outlook Client

All staff PCs have the Outlook client installed on them. When using a PC for the first time you will need to set up your mailbox on it.

  1. Double-click the Outlook shortcut on the desktop.
  2. Click next through the steps, it will automatically find your email address.
  3. When prompted, enter your password into the pop up box. Your email should be correct.
  4. After a brief loading screen, you should now have access to your mailbox.

Office 365 (Email on the web)

When you need to access emails or files externally, or do not have use of a school device, you can use a web browser (such as Safari, Chrome and Internet Explorer) to view your emails and files.

  1. Browse to portal.office.com
  2. Enter your Email address and Password.
  3. Once you are logged in select which option you want (OneDrive or Outlook)

E-mail groups

Email groups are a collection of staff members, organised in a way so you can email a particular department or group without individually adding each member. Your line manager should have contacted us, specifying the groups you need to be a member of, if this is not the case or you feel you are missing out on emails. Please contact techsupport@kba.uk.

Some examples of email groups are as follows, typing these in the ‘To:’ box and clicking ‘Check Names’ will add these groups for you: KBA Science, KBA Primary All Staff, KBA Braveheart Tutors etc.

Printing

When your account has been created, you will also be given a printing account and budget. Your line manager would have defined your printing budgets based on the department you will work and print with. For normal users, the quota is £3.50 per week, for leaders and heads of department this is unlimited, but both quotas are within compliance of department budgets. If you feel you are missing an account, or are assigned to the wrong one, please contact techsupport@kba.uk.

The accounts you have will depend on your role, as an example, a maths/PE teacher will have the following accounts:
Maths\Joe Bloggs
PE\Joe Bloggs
Maths\Reprographics
PE\Reprographics

OneDrive and Staff Area

When your account is created, you have access to a personal storage area via Office365 and OneDrive.  This can be accessed via any school device and via the Internet.  To access it via a school device, find the OneDrive icon via “My PC” on your desktop.  It can be accessed via https://portal.microsoft.com and via any mobile device and the OneDrive app.

There is also a shared staff resource drive which is known as the S drive.  The staff resources folder is under saving restrictions, which determines who can save where, to ensure that folders remain clear and clutter-free. When saving documents into the staff resource area, please ensure documents and folders are well named and well structured, to make it easier to navigate for all users. Please also do not use this area for ‘personal’ or ‘extra’ space, your home drive is created specifically to host your own files. – The staff resource area is for sharing content with other staff members, please consider this before placing anything in there.

You also have a departmental OneDrive/SharePoint a shortcut to this is located on the S: Drive locate the department you require and double click the shortcut.

Surface Pro/Laptops

If you are a Teacher and your department are currently using Surface Pros, you should be assigned one.  If not, and you would like a school laptop to use, please contact the help desk at techsupport@kba.uk and we will assign you one.

  • Location of the problem, Room Number and Location in room
  • Subject Line Should be kept to a minimum
  • Brief description of the problem (Broken is not an explanation)
  • If it’s in a Classroom, put when the class Is next free on the ticket

KBA Portal

You will have been given access to the KBA Portal, this is logged in to by opening your choice of browser Chrome/Internet Explorer/Edge. The Portal will be one of the Tabs that automatically appear, you then use your school username and password to log in.

If you get an errors then please log a ticket following the above process.
